Job Brief:
The Personal Assistant to the CEO will provide high-level administrative support to the CEO, ensuring the smooth and efficient operation of the executive office. The ideal candidate will be proactive, highly organized, and capable of handling confidential information with discretion. This role demands excellent communication skills, attention to detail, and the ability to work under pressure. Given the company's operations in North America, Europe, and the GCC, flexibility in timing will be required as meetings can occur at odd hours.

Job Responsibilities:
Administrative Support:
  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents for meetings, presentations, and reports.
  • Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
  • Coordinate and arrange corporate events, conferences, and meetings.
Project Management:
  • Assist in the planning and execution of special projects and initiatives as directed by the CEO.
  • Track progress on key projects and provide regular updates to the CEO.
  • Conduct research and compile information for reports and presentations.
Communication:
  • Serve as a liaison between the CEO and internal/external stakeholders.
  • Draft, review, and edit correspondence, reports, and presentations.
  • Ensure clear and effective communication within the executive office and across departments.
Office Management:
  • Maintain the organization of the executive office, ensuring a professional and efficient work environment.
  • Oversee office supplies and equipment, ensuring necessary resources are available.
  • Manage expenses and prepare expense reports for the CEO.
Confidentiality:
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Ensure compliance with company policies and procedures regarding confidentiality and data protection.

Job Requirements:
  • Bachelor's degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years of experience as an Executive Assistant to the CEO is a must, preferably in a corporate or financial environment.
  • Experience in multinational organizations preferred.
  • Previous experience dealing with the regions - North America / Europe (Mandate).
  • Must possess excellent communication in English and the ability to converse with different nationalities.
  • Presentable with strong interpersonal skills.
  • Respectful and open-minded.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize and manage multiple tasks simultaneously.
  • High level of discretion and professionalism.
  • Strong attention to detail and problem-solving skills.
  • Proactive and able to work independently with minimal supervision.
  • Flexibility to accommodate meetings and work at odd hours due to global operations.
  • Available after work hours and on weekends over the phone/emails.
  • Entrepreneurial mindset.
