Job Brief:
We are seeking a highly organized and proactive Administrative Assistant to manage daily office operations and provide dedicated executive support to the CEO. This role will oversee DMCC documentation, medical insurance, visa, and iqama processes, and coordinate office travel and events for a team of 40+ employees across the UAE and GCC. The ideal candidate will be detail-oriented, reliable, and experienced in handling administrative functions within a fast-paced corporate environment.

Job Responsibilities:
Office & Administrative Management (65%)
  • Oversee day-to-day office operations, ensuring an organized and efficient workplace.
  • Coordinate business travel arrangements, including flights, hotels, and visa applications for employees.
  • Manage all DMCC documentation, including license renewals, tenancy contracts, and compliance requirements.
  • Handle medical insurance matters; renewals, additions, and deletions for employees.
  • Oversee UAE and Saudi iqama processes, renewals, and employee-related documentation.
  • Liaise with vendors, service providers, PROs, and government entities to ensure smooth operations.
  • Manage office supplies, courier services, and invoicing.
  • Organize office events, celebrations, and employee engagement activities.
Executive Support to CEO (35%)
  • Provide comprehensive administrative and secretarial support to the CEO, including calendar, scheduling, and meeting coordination.
  • Arrange the CEO’s travel itineraries, accommodations, and logistics.
  • Prepare correspondence, presentations, and reports as required.
  • Handle confidential information with professionalism and discretion.
  • Coordinate internal and external meetings, prepare minutes, and follow up on action items.
Job Requirements:
  • Bachelor’s degree in Business Administration or related field.
  • Minimum 5 years of experience in administrative or executive assistant roles.
  • Proven experience managing DMCC documentation, medical insurance, and UAE/GCC visa/iqama processes.
  • Strong organizational, multitasking, and coordination skills.
  • Excellent written and verbal communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Professional, presentable, and capable of interacting effectively with senior management and external partners.
