Job Brief:The Administration Coordinator will support the company's HR and administrative functions by coordinating travel, vehicle management, utility services, maintenance activities, and administrative documentation. The role requires strong organizational skills and experience in handling HR and administrative tasks in a professional and efficient manner.
Job Responsibilities:- Arrange flight ticket bookings and coordinate airport pick-ups and drop-offs.
- Manage scheduling and coordination for company vehicle usage.
- Handle ADDC and DEWA payments and resolve any related service issues.
- Oversee accommodation maintenance activities and manage service requests.
- Coordinate the servicing, repair, and maintenance of company cars and buses.
- Manage vehicle registration and renewal processes.
- Create Purchase Orders (PO) and Goods Receipt Notes (GRN) in SAP for administrative services.
- Reconcile invoices and process payments for security services.
- Reconcile invoices and handle payment processing for Imdaad and KEZAD skip services.
- Manage gate pass applications for JAFZA.
- Assist with visa processing for other countries when required by the sales team.
- Support HR administration tasks as needed.
- Perform any other ad hoc administrative tasks assigned by management.
