Job Brief:
We are hiring a Dispatch Coordinator for a packaging company in Dubai. The role involves overseeing fleet operations, coordinating daily dispatches, and ensuring customer satisfaction through timely and efficient deliveries. This position requires excellent communication and multitasking skills, as it bridges dispatching operations with customer relationship management.

Job Responsibilities:
  • Schedule deliveries based on confirmed sales orders received from the Sales Coordinator.
  • Coordinate with the Production department to confirm product readiness.
  • Liaise with the Inventory Controller to check stock availability for trading items.
  • Share delivery schedules with the Sales Coordinator for customer communication.
  • Prepare invoices upon confirmation of items ready for dispatch.
  • Ensure correct quantities are loaded into vehicles and appropriate documentation is issued.
  • Generate and hand over Delivery Orders (DOs) and invoices to drivers.
  • Collect signed invoices and DOs from drivers and submit them to the Finance department.
  • Share copies of signed delivery documents with the Sales Coordinator.
  • Modify invoices based on Purchase Orders (POs) before printing final versions.
  • Maintain petty cash for driver-related expenses.
  • Assist the Finance team with cheque collections and sample deliveries.
  • Manage daily van sales cash and ensure timely submission to Finance.
  • Prepare daily and weekly reports such as delivery schedule, pending invoices, and missing documentation reports.
  • Update Sales Orders in coordination with the Sales Coordinator, in case of any changes.
Job Requirements:
  • High School Diploma is required; a Diploma in Dispatch/Delivery Systems is preferred.
  • Minimum 3 years of experience in a similar dispatch role, preferably in a manufacturing setup; experience in the packaging industry is a strong advantage.
  • Strong organizational and problem-solving skills.
  • Ability to handle multiple tasks simultaneously and work well under pressure.
  • Effective verbal and written communication skills.
  • Collaborative mindset with the ability to coordinate between departments.
  • Proficiency in preparing reports and managing delivery documentation.
  • Arabic language skills are preferred.
