Job Brief:Our client, a leading company in the packaging industry, is looking for a Dispatch Coordinator to oversee fleet operations, manage drivers, and coordinate deliveries efficiently. This role involves both dispatch coordination and customer relationship management, ensuring timely deliveries and maintaining high levels of customer satisfaction through effective scheduling and communication.
Job Responsibilities:- Schedule deliveries after confirming sales orders with the Sales Coordinator.
- Liaise with the Production Department to confirm items are ready for delivery.
- Coordinate with the Inventory Controller to confirm stock availability for trading items.
- Share delivery schedules with the Sales Coordinator for customer updates.
- Prepare invoices upon confirmation of items to be delivered.
- Ensure the correct quantity of items is loaded onto vehicles before dispatch.
- Prepare Delivery Orders (DOs) and hand over the necessary documents to drivers.
- Ensure signed invoices and Delivery Orders are submitted to the Finance Department.
- Share copies of signed invoices and Delivery Orders with the Sales Coordinator.
- Coordinate with the Sales Coordinator regarding any changes required in Sales Orders.
- Prepare delivery schedule reports, missing invoice/DO reports, and pending invoice reports.
- Manage petty cash for drivers’ expenses.
- Assist the Finance Team in collecting customer cheques and handling sample delivery and collection.
- Modify invoices as per the customer’s Purchase Order (PO) before printing the final invoice.
- Manage Van Sales cash and ensure daily submission to the Finance Department.
