Job Brief:
We are seeking an experienced Operations & Bid Manager to oversee all operational aspects of an interior design and architecture firm. The role focuses on ensuring smooth project execution, efficient team coordination, proper management of contracts and tenders, and accurate oversight of invoicing and documentation. While experience in business development is considered an advantage, the primary responsibility of this position is to drive operational excellence and ensure effective coordination across the company.

Job Responsibilities:
  • Oversee internal operations, ensuring work is distributed efficiently across design and technical teams.
  • Track and manage project progress, staff workloads, and deliverables to ensure timely completion.
  • Coordinate and manage all tender submissions, ensuring compliance with requirements and adherence to deadlines.
  • Maintain and monitor invoicing, contracts, and client documentation, ensuring accuracy and timely updates.
  • Implement and optimize operational processes, workflows, and systems to enhance company-wide efficiency.
  • Serve as the central point of contact for project updates, team coordination, and client communication.
  • Provide regular operational reports and insights to management for informed decision-making.
  • Ensure that all teams are aligned, updated, and performing efficiently across all ongoing projects.
Job Requirements:
  • Proven experience as an Operations Manager or Senior Project Coordinator within an interior design, architecture, or construction firm.
  • Strong understanding of project management workflows, operational processes, and design industry practices.
  • Excellent organizational, leadership, and communication skills.
  • Proficiency in project management tools such as Asana, Trello, MS Project, and the Microsoft Office Suite.
  • Ability to manage multiple projects and teams simultaneously with a high level of accuracy.
  • Knowledge of tendering processes, contract management, and invoicing is highly desirable.
  • Strong problem-solving skills with the ability to drive operational improvements and enhance team performance.
