Job Brief:

Our client is seeking an experienced PRO cum Admin to provide comprehensive administrative support across legal, HR, facilities, fleet, IT, and office operations. The role is responsible for ensuring timely documentation, compliance, coordination, and efficient resource management to support smooth business operations across projects and offices.

The PRO cum Admin will handle government-related documentation and renewals, employee onboarding and visa processing, office and accommodation administration, fleet coordination, IT asset management, insurance, tenancy contracts, and general administrative activities.

The ideal candidate for this PRO cum Admin Job in Sharjah should have 3–5 years of administrative experience, with UAE experience being mandatory. Experience within HR, compliance, facilities, fleet, IT coordination, construction, or water treatment would be relevant to the position.

Job Responsibilities:

  • Process visa legalizations, renewals, and new visas.
  • Manage trade licence renewals and other statutory renewals.
  • Handle company document legalizations.
  • Manage work permits and site insurance requirements.
  • Manage project insurance requirements.
  • Handle tenancy contract renewals.
  • Manage the end-to-end employee onboarding process.
  • Arrange employee travel, visas, and relocation requirements.
  • Coordinate flight ticket arrangements.
  • Coordinate employee onboarding requirements.
  • Maintain employee records and documentation.
  • Ensure all company documents are legalized and kept up to date.
  • Manage site insurance, work permits, and PINEAR insurance.
  • Collect and verify Wi-Fi and landline bills.
  • Prepare utility bill data and submit it to the Accounts team.
  • Manage office facilities, including the office, warehouse, and accommodations.
  • Manage four accommodations, including accommodation utilities.
  • Manage landing and Wi-Fi requirements.
  • Coordinate payments with the Accounts team.
  • Manage 14+ company vehicles.
  • Handle fleet insurance renewals.
  • Manage maintenance coordination for company vehicles.
  • Coordinate with drivers for vehicle repairs.
  • Maintain vehicle records.
  • Liaise with drivers and track vehicle-related matters.
  • Manage 50+ IT assets, including PCs, desktops, and laptops.
  • Coordinate with the outsourced IT service provider.
  • Provide support for IT-related requirements, including firewalls, FortiGate, systems, software, etc.
  • Manage IT items and old company assets.
  • Maintain and track IT inventory.
  • Manage company assets and IT inventory.
  • Handle employee onboarding and compliance for the company.
  • Support all administrative tasks across projects and sites.
  • Ensure the timely renewal of all licences and permits.
  • Maintain accurate records and documentation.
  • Provide reliable administrative support to all departments.
  • Ensure smooth and efficient day-to-day operations.
  • Coordinate with management, employees/new joiners, government authorities, vendors/suppliers, drivers, the fleet team, facility providers, IT service providers, and the accounting team.

Job Requirements:

  • Bachelor’s degree in any discipline is preferred.
  • Diploma in Business Administration / Office Management is preferred.
  • 3–5 years of experience in administrative roles.
  • UAE experience is mandatory.
  • Experience in HR, Compliance, Facilities, Fleet, and IT coordination.
  • Experience in the construction/water treatment industry is preferred.
  • Strong experience handling administrative processes, documentation, and coordination across multiple business functions.
  • Ability to manage government-related documentation, employee onboarding, facilities, fleet, IT assets, and general office administration.
  • Ability to coordinate and prioritize daily administrative activities.
  • Ability to maintain accurate data, records, and documentation.
  • Ability to approve and initiate administrative processes within defined policies and approved limits.
  • Ability to escalate critical issues to management.
  • Ability to ensure vendors/service providers comply with guidelines.
  • Ability to support decision-making with accurate data and timely information.
