Job Brief:
The Project Administrator will support the efficient execution of oil and gas projects by handling administrative tasks and managing comprehensive document control systems. The role requires fluency in Arabic and English, strong organizational skills, and experience in document management systems specific to large-scale engineering projects.

Job Responsibilities:
Project Administrative Support:
  • Manage schedules, meetings, and travel arrangements for project personnel.
  • Perform daily administrative tasks to support project operations.
  • Maintain organized systems for project records, databases, and files.
  • Assist with onboarding and administrative support for staff and contractors.
  • Track document changes and maintain clear audit trails.
  • Gather feedback from project team members for process improvements.
  • Translate documents (Arabic to English) and type memos/letters in Arabic.

Support Document Controller:
  • Establish and manage a robust document control system for all project phases.
  • Implement control procedures, workflows, and ensure compliance with standards.
  • Manage document distribution, version control, and approvals.
  • Enforce access permissions and administer the change control process.
  • Ensure EDMS (ASSAI, PRODOM, WRENCH, ACONEX, etc.) is updated and functioning.
  • Conduct regular audits to maintain documentation accuracy and completeness.
  • Coordinate with consultants to address documentation and compliance issues.
  • Provide training on naming conventions and metadata standards.
  • Generate document control reports and identify improvement opportunities.
Job Requirements:
  • 10+ years of experience in the execution of major oil and gas projects
  • University degree in any discipline
  • High-level proficiency in Microsoft Office, especially Excel
  • Hands-on experience with Electronic Document Management Systems (EDMS) such as ASSAI, PRODOM, WRENCH, or ACONEX
  • Fluency in both English and Arabic (written and spoken)
  • Strong understanding of document control processes and quality standards
  • Familiarity with FEED phase documentation and control requirements
  • Experience in coordinating with external engineering consultants
  • Ability to audit, validate, and manage engineering documentation
  • Excellent organizational and administrative skills
  • Ability to work independently and handle multiple tasks under tight deadlines
