Job Brief:

This Purchase Executive job in Ras Al Khaimah will be responsible for managing procurement activities, supplier coordination, RFQ processing, import procurement, and inventory-related purchasing requirements to support the company’s operational and production needs. The role requires strong experience in vendor management, comparative analysis, procurement documentation, ERP systems, and import logistics to ensure timely and cost-effective procurement of materials and services.

The ideal candidate will have a solid understanding of procurement processes, supplier negotiations, import procedures, and ERP-based purchasing operations, along with the ability to maintain strong supplier relationships and ensure uninterrupted material availability.

Job Responsibilities:

  • Process Requests for Quotations (RFQs) received from internal departments and approved procurement requirements.
  • Obtain quotations from suppliers and vendors and ensure all procurement requirements are accurately communicated.
  • Evaluate vendor quotations and negotiate pricing, commercial terms, payment terms, delivery schedules, and conditions to achieve cost-effective procurement solutions.
  • Prepare Comparative Statements (CS) to evaluate supplier quotations and provide recommendations for vendor selection.
  • Ensure transparent, compliant, and efficient vendor evaluation and selection processes.
  • Manage procurement activities related to imported goods and materials.
  • Coordinate shipping arrangements, customs clearance processes, import documentation, and regulatory compliance requirements.
  • Liaise with suppliers, freight forwarders, shipping agents, and customs authorities to ensure smooth import operations.
  • Monitor shipment schedules and ensure the timely and accurate delivery of imported materials.
  • Utilize ERP systems effectively for procurement planning, purchase order processing, inventory monitoring, and procurement tracking.
  • Create, update, and maintain procurement records, purchase orders, supplier agreements, invoices, and related documentation.
  • Follow up regularly with vendors to ensure the timely delivery of materials and services as per agreed schedules.
  • Resolve procurement-related issues, including delivery delays, quality concerns, quantity discrepancies, and documentation challenges.
  • Maintain strong relationships with suppliers and identify opportunities to improve supplier performance and procurement efficiency.
  • Prepare regular procurement reports covering purchase activities, supplier performance, cost savings, delivery status, and procurement KPIs.
  • Analyze purchasing data and identify opportunities for process improvements, cost reductions, and operational efficiencies.
  • Ensure compliance with company procurement procedures, internal controls, and purchasing policies.
  • Coordinate with internal departments to understand procurement requirements and support business operations effectively.
  • Stay updated on market trends, supplier developments, and procurement best practices.

Job Requirements:

  • Bachelor’s Degree in Business Administration, Supply Chain Management, Logistics, Procurement, or a related field.
  • Minimum 5-6 years of experience in procurement, purchasing, or supply chain operations.
  • Strong experience in RFQ management, vendor evaluation, supplier negotiations, and procurement processes.
  • Experience in preparing Comparative Statements (CS) and supplier assessment reports.
  • Good understanding of import procurement, shipping processes, customs clearance procedures, and import/export regulations.
  • Strong knowledge of ERP systems for procurement and inventory management.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint.
  • Ability to generate, analyze, and interpret procurement reports and purchasing data.
  • Strong understanding of vendor management and supplier relationship management.
  • Excellent negotiation, communication, and interpersonal skills.
  • Strong organizational and documentation skills with attention to detail.
  • Ability to manage multiple procurement activities simultaneously and meet deadlines.
  • Experience in manufacturing, industrial, or cement-related industries will be an advantage.
  • Ability to work independently while coordinating effectively with internal teams and external suppliers.
