Job Brief:

Our client is seeking a detail-oriented Quality Document Controller to control, maintain, and coordinate quality-related documents and records across manufacturing and fabrication activities.

The Quality Document Controller will manage inspection reports, Control Plans, test certificates, NCRs, calibration records, customer submissions, approved drawings, procedures, and Manufacturing Data Books / Quality Dossiers, ensuring accuracy, traceability, proper review and approval, controlled distribution, archival, and retrievability.

The ideal candidate should have 2–3 years of experience in quality document control, QA/QC, manufacturing, or project documentation, preferably within a manufacturing or fabrication environment, with knowledge of ISO 9001, QMS documentation, revision control, quality records, and document management processes.

Job Responsibilities:

  • Maintain the Master Document Register and control quality documents, including procedures, ITPs, drawings, specifications, and customer documentation.
  • Coordinate document approvals and controlled distribution, ensuring that uncontrolled or superseded documents are not used.
  • Collect and maintain inspection, dimensional, NDT, calibration, MTC/COC, and release records.
  • Register and track Non-Conformance Reports (NCRs) and corrective actions.
  • Compile Manufacturing Data Books / Quality Dossiers and manage transmittals and submission logs.
  • Support the Quality Manager / QA Engineer with QMS documentation and revision history.
  • Provide organised documentation and supporting evidence for internal and external audits.
  • Monitor documentation gaps, escalate issues, and promote documentation discipline and accuracy.
  • Control the issuance and retrieval of quality documents.
  • Reject incomplete or uncontrolled document submissions.
  • Request corrections or missing records where required.
  • Hold final submissions until documentation requirements are met and escalate critical delays.
  • Ensure technical acceptance, product release, concession, and waiver approvals remain with authorised QMS personnel.
  • Ensure the accuracy, completeness, and traceability of quality documents and records.
  • Ensure the timely availability of approvals and submission packages.
  • Maintain proper registers, transmittals, and filing systems.
  • Maintain audit readiness and ensure the confidential handling of documentation.
  • Coordinate internally with the Quality Manager / QA-QC Manager, QA Engineer, QC Inspectors, Production, Engineering, Planning, Procurement, Stores, Project/Customer Coordination, and HSE.
  • Coordinate externally with customers, third-party inspection agencies, suppliers, subcontractors, and certification bodies.

Job Requirements:

  • Diploma or Bachelor’s degree in Engineering, Business Administration, Document Control, Manufacturing, or a related discipline.
  • 2–3 years of experience in quality document control, QA/QC, manufacturing, or project documentation.
  • Experience within a manufacturing or fabrication environment is preferred.
  • Knowledge of ISO 9001 QMS documentation.
  • Knowledge of revision control, transmittals, quality records, NCR files, CAPA, MTCs/COCs, Control Plans, SPC, and Data Books / Quality Dossiers.
  • Basic engineering drawing literacy.
  • Proficiency in MS Office / Excel is preferred.
  • Experience with PDF compilation, document management systems, and archiving tools is preferred.
  • Exposure to ERP/QMS software is preferred.
  • Strong attention to detail and organisational skills.
  • Ability to maintain confidentiality when handling quality and company documentation.
  • Strong follow-up discipline, communication, and time-management skills.
  • Ability to coordinate effectively across multiple departments.

Key Performance Indicators (KPIs):

  • Document accuracy, measured by the percentage of records submitted without correction.
  • On-time submission of dossiers, reports, and transmittals.
  • Revision-control compliance, including prevention of obsolete or uncontrolled document issues.
  • Percentage of Data Books / Quality Dossiers completed correctly before submission.
  • Audit document readiness.
  • Percentage of NCR files updated with disposition and closure evidence.
