Job Brief:
Our client in the trading industry is hiring a highly organized and professional Receptionist to manage front desk operations, provide administrative support, and coordinate with various departments. This role requires a friendly personality, strong multitasking abilities, and excellent communication skills to maintain a positive first impression and ensure smooth office operations.

Job Responsibilities:
  • Greet and assist visitors, clients, and vendors in a courteous and professional manner.
  • Answer and direct incoming phone calls, emails, and inquiries.
  • Maintain office attendance records and support daily updates for on-site and in-office employees.
  • Enter daily timesheets, overtime details, and employee data into the internal software.
  • Coordinate with authorities for gate passes and work permits as required.
  • Manage office supplies, pantry inventory, and ensure timely replenishment.
  • Monitor and recharge company accounts such as SALIK and similar; prepare monthly usage summaries.
  • Download utility and telecom bills, ensure timely payments, and prepare detailed reports for management.
  • Assist in renewing vehicle registrations and insurance, processing traffic fines, and handling vehicle-related claims.
  • Coordinate flight bookings for staff and prepare related payment documentation.
  • Maintain up-to-date employee records, including passport, visa, EID, and documentation on internal systems.
  • Provide clerical and administrative support to various departments, including HR and finance.
  • Maintain company records and documentation such as trade licenses, tenancy contracts, and other certificates.
Job Requirements:
  • Bachelor’s degree or diploma in Business Administration or related field preferred.
  • 2–4 years of experience in a front desk, administrative, or receptionist role in the UAE.
  • Strong communication and interpersonal skills with a professional demeanor.
  • Good command of MS Office (Excel, Word, Outlook); familiarity with ERP software.
  • Knowledge of UAE portals such as JAFZA, Etisalat, and other authorities.
  • Ability to handle sensitive documents and multitask in a fast-paced environment.
  • Age requirement: Between 30 – 40 years.
  • Female candidates preferred.
